Job Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to provide dedicated support to a busy CEO with a demanding schedule and extensive business commitments.

This role requires exceptional organizational skills, strong judgment, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will act as a trusted right hand to the CEO, ensuring smooth day-to-day operations, efficient schedule management, and seamless coordination across meetings, travel, events, and communications.

The ideal candidate thrives under pressure, is highly responsive, exercises sound judgment, and can anticipate needs before they arise.

Key Responsibilities:      

  • Executive Support: Manage and maintain the CEO’s calendar, appointments, meetings, and commitments.
  • Coordinate internal and external meetings across multiple time zones.
  • Ensure the CEO is fully prepared for meetings through briefing materials, agendas, and reminders.
  • Prioritize requests, commitments, and competing deadlines effectively.
  • Email & Communication Management: Monitor and manage a high volume of emails.
  • Draft, review, and respond to correspondence on behalf of the CEO when appropriate.
  • Identify urgent matters and ensure timely follow-up.
  • Maintain organized email systems and communication records.
  • Travel & Event Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, visas, and itineraries.
  • Coordinate attendance at conferences, seminars, award ceremonies, networking events, and business meetings.
  • Prepare detailed travel schedules and contingency plans.
  • Ensure all logistics are handled efficiently and accurately.
  • Administrative & Operational Support: Track action items and follow up with stakeholders to ensure completion.
  • Organize documents, reports, presentations, and business records.
  • Conduct online research and gather information as required.
  • Assist with special projects and ad hoc tasks.
  • Maintain strict confidentiality regarding sensitive business information.

Requirements:

  • 3–5 years of experience as an Executive Personal Assistant. 
  • Previous experience supporting a CEO, Founder, Executive Director, or C-Level Executive.
  • Experience in tracking and reporting KPIs.
  • Ability to prepare and present Management Information (MI) reports and presentations.
  • Previous experience of working in the UK sector with NHS and Local Authorities
  • Exceptional organizational and time-management skills.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple priorities simultaneously.
  • Excellent attention to detail and follow-through.
  • Strong problem-solving skills and resourcefulness.
  • Comfortable working in a dynamic, fast-moving environment.
  • Proficient in Google Workspace and Microsoft Office.
  • Experience with calendar management, travel coordination, and email management.
